Accounting Administrative Assistant

This is an Accounting Administrative Assistant position.  The assignment will include working with both the Accounting group and the Executive staff.

Job Description (including but not limited to the following):

  • Occasional reception/phones duties (back up primarily)
  • Accounting duties will include expense reports and imputing info into the A/P system (software is Concur).
  • Ordering lunch daily for all employees. They cater lunch in every day. In some cases, pick up lunch.  On Fridays, place order to Instacart for staff kitchen to replenish food supplies.
Daily:
  • AP vendor/invoice filing
  • Save bank reports/send
  • Sort/distribute mail
  • Phones – answer and screen
  • IT support – work with our 3rd party IT company
  • New hires – setup new users and workstations, order supplies
  • Send daily bankruptcy report
Weekly:
  • Creates and processed expense reports for BDOs and management
  • Prepares engagement letters for appraisal team
  • Assists with updating calendars; travel, registrations and meeting coordination
  • Orders office supplies
  • CRM support – inputs opportunities, contacts, deals
  • Update credit card reconciliations
  • Set up accounting conference call (Wednesday)
  • Concur invoices (Wednesday)
  • Prints reports for management: Deposition Pipeline, BDO Weekly Pipeline, and Active Deals List Fees
  • Deposits to bank
Monthly:
  • Petty cash and Credit card reconciliations
  • Download transactions from out of state accounts
  • File monthly cash transactions
  • Download monthly bank accounts & file
  • Wire filings
  • FedEx/UPS packaging needs
  • Assists with ad-hoc projects as needed

Skills and Requirements:

  • High school diploma or equivalent required
  • Must be very comfortable with Microsoft Excel and Word.
  • Strong typing and data entry skills are preferred
  • Comfortable with office machines (fax, copier, postal equipment, etc.)

This is a long term temporary position in the Conejo Valley area.  The salary is $16 hourly.  The reason for this replacement is a maternity leave.  It may lead into something but there are no guarantees.  Daily company paid lunch is included in the assignment.
