Office Administrator

The Office Administrator will manage office ambience and cleanliness, as well as providing administrative assistance to staff when required.

Job Description (including but not limited to the following):


  • Oversee office budget and staff
  • communicate with building management about rules and issues
  • Source vendors, negotiate contracts, and process invoices
  • Oversee inventory of supplies (food, cleaning, office supplies, swag)
  • Research and plan team activities and events (catered lunches, holiday parties)
  • Manage employee onboarding experience
  • Develop tools and playbooks to run the office smoothly
  • Water plants
  • Occasionally mail/ship for team
  • Special projects when needed and other administrative tasks


  • Manage invoices sent to billing website, upload, enter bill info, approve, send to department for approval
  • Track purchases made on company credit card and if/when payment should be made – Track company card purchases in QuickBooks and categorize – Manage credit card requests from employees
  • Update account and billing Google docs as necessary


  • Manage recurring internal team meetings and reschedule when needed
  • Manage booking of conference room and overflow space for meetings
  • Coordinate with external contacts to schedule meetings and calls
  • Make sure logistics are set up for company meetings and calls (set up video conferencing if needed, print materials if needed, order lunch if needed, etc.)


  • Make sure snacks, office, and janitorial supplies are stocked
  • Coordinate Monday team lunch orders
  • Celebrate people’s birthdays
  • Coordinate with facility vendors to maintain upkeep (janitorial, landlord, outside contractors)
  • Manage new office efforts (coordinate with brokers for viewings, keep track of properties, coordinate moving efforts)


  • Coordinate screening calls and interviews for Business Team
  • Coordinate in-person interviews for Tech team
  • Manage reimbursements for recruitment travel
  • Book conference room/office space for on-site interviews

Executive Staff:

  • Manage calendar and update daily when needed
  • Respond to emails to schedule calls and meetings for both external and internal meetings
  • Track receipts and manage expenses

Skills and Requirements:

  • High School diploma or equivalent is required
  • Computer skills – Microsoft Word and Excel, Outlook and a working knowledge of QuickBooks
  • Some accounting knowledge helpful
  • Maintain discretion and confidentiality in all aspects of this position
  • Human Resources generalist background helpful
  • 2 years previous experience in administrative work
  • willingness to complete whatever tasks assigned

This is a temporary contract position located in the West Los Angeles area.  The pay rate is $20 hourly.
