Accounting Assistant
The Accounting Assistant is responsible for providing accounting support to controller and other managers within the company. Enters daily sales into the general ledger system, ensures files are complete and maintained weekly, handles accounts payable and accounts receivable duties, and assists controller.
Job Description (including but not limited to following):
Accounts Payable
- Open invoice and statement mail; print invoices and statements received via email; obtain approval on all invoices from each department;
- Match invoices to PO or packing slip if applicable
- General Manager & VP of Operations must approve Winery invoices over $1,000 paid by NJ office.
- Invoices paid by East Coast office are entered into Accounting software and emailed to that office for processing.
- Verify expense reports and receipts from local employees
- Code and separate charges for invoices as needed, i.e. Fed Ex
- Enter invoices into AP system, both in QuickBooks and Accountmate
- Research all vendor statements and vendor inquiries
- Complete credit applications for new account setup with vendors; enter new vendors into QuickBooks. Maintain correct vendor 1099 status
- Print checks weekly. Match checks to invoices
- Send positive pay to East Coast each week when check processing is completed
- Mail checks; process online payments
- Maintain AP system, i.e. researching outstanding checks
- File all check invoices back up weekly
- Go to the bank to obtain a cashier’s check when needed.
- Sales Recording and Cash Deposits – verify and record daily sales into QuickBooks; file daily sales envelopes daily into boxes;
Accounts Receivable
- Generate invoices as needed from QuickBooks and send to customer.
- Run AR aging each week from QuickBooks for all locations from Accountmate;
- Research and follow up on outstanding AR, collecting payments; deposit checks received via desk top banking;
- Apply all payments to AR balances, including check payments and payments made through journal entries in both QuickBooks and Accountmate.
- Print out retail emailed by Supply Chain & Wine-making Logistics Manager and match to retail sent from NJ office once orders have been processed
- Retail orders need to be processed as an AP invoice
- Cash sales need to be invoiced to purchaser
- Print out monthly sales tax from Ship Compliant
- File monthly and quarterly sales and excise taxes online or by mail with payments for all states except California;
- Prepare East Coast state sales tax spreadsheet quarterly and email to that office.
- Check each state to ensure that all licenses are current
- All required forms are filed accordingly
- New states are added as needed.
- Before each month ends, verify all or Responsible for providing accounting support to controller and other managers within the company. Enters daily sales into the general ledger system, ensures files are complete and maintained weekly, handles accounts payable and accounts receivable duties, and assists controller.
- Shredding of confidential paperwork as needed; Answer phone calls; Answer emails.
- Other job duties assigned by Controller.
Skills and Requirements for the Winery Accounting Assistant
- High school diploma or general education degree (GED); minimum three years of relevant experience and/or training; or equivalent combination of education and experience.
- Duties require professional verbal and written communication skills; Understanding of principles and practices of the organization, planning, records management and general administration. Dependability, adaptability and confidentiality are necessary attributes.
- Proficient in using Microsoft’s Office Suite including Word and Excel with the ability to type 50 wpm.
- Basic reading, writing and arithmetic skills required.
- Skilled in operating standard office equipment, including but not limited to, computers, telephone systems, calculators, copiers, scanners and facsimile machines.
- Politeness, confidence, tact, patience and diplomacy while dealing with complex and confidential situations. Should have impressive telephone etiquette. Excellent communication skills and the ability to deal effectively across all levels of the business organization are necessary. Must have problem solving skills. The ability to maintain a professional and courteous relationship with all. Meet deadlines and possess excellent, project management and decision making skills.
This is a temp to hire position in the Conejo Valley area. The pay range is $20 to $22 hourly.
