The Facilities Coordinator reports directly the Global Facilities Manager and is responsible for coordinating the facilities related functions for multiple sites including safety, maintenance, equipment, project coordination, facility relocations, and other facilities administrative support as needed.

Job Description (including but not limited to the following):

  • Globally Facilities Manager Support for all Global Sites
  • Track preventative maintenance contracts
  • Log all maintenance records, repairs and contracts in PLM system
  • Coordinate any planned outages or business disruptions to the site with site managers and communicate to the site/affected teams
  • Assist with planning for equipment installation
  • Collect and post safety committee meeting minutes from site administrators quarterly
  • Work with site administrators to maintain annual calendar of safety committee and company-wide safety training including but not limited to providing any necessary support for safety training planning to site admins; assemble training sign-in sheets from local admin or Office Manager and maintain safety training sign-in sheets in PLM for auditing purposes
  • Negotiate with suppliers and landlord as required for preventative maintenance and safety matters
  • Work with Global Facilities Manager to create and document project schedules
  • Assist the Global Facilities Manager with documenting corporate policies and procedures

In addition:

  • Update and maintain Facilities intranet information including but not limited to current floor plans for all sites (collected from site admins/Office Managers); safety training and safety committee training dates; any safety committee quarterly meeting dates and minutes; any changes to emergency and after hours contact information; developing site pages for any new sites
  • Assist the Global Facilities Manager with obtaining quotes for a variety of projects
  • Provide quarterly Global occupancy reports to the Global Facilities Manager
  • Provide support to the Global Facilities Manager on construction and move projects as necessary
  • Coordinate and execute approved moves
  • Open, assign, address then close Facilities service tickets
  • Provide administrative support to Global Facilities Manager as necessary
  • Work with lab managers to coordinate annual lab audits to ensure all mechanical systems can accommodate increased or changing demands including maintaining audit records in PLM
  • Provide any necessary support to the Global Facilities Manager for bi-annual ISO audits
  • Create purchase order requests

Site Specific Duties (both local and off site)

  • Perform and/or schedule preventive maintenance as required
  • Ensure compliance with established company policies and procedures relating to safety, maintenance and use of facilities
  • Support shipping and receiving functions
  • Ensure all aspects of day to day site operations are reliable
  • Ensure facility is EPA, OSHA, ADA & NFPA compliant
  • Maintain a clean and organized storage area
  • Prep and arrange cubicle and office relocation

Skills and Requirements:

  • Associate Degree preferred
  • Minimum 4 years of related
  • Strong communication skills
  • Good organizational and negotiation skills
  • Team Player
  • Strong knowledge of Microsoft office suite (Word, Excel, PowerPoint, Outlook)
  • Must have strong knowledge of Nitrogen, compressed air and vacuum systems
  • Fully knowledgeable of office ergonomics
