Office Assistant Irvine

The Office Assistant Irvine will be responsible for maintaining the front office, kitchen and conference rooms as well as administrative duties as required.

Job Description (including but not limited to the following):


  • Replenish office snacks and supplies throughout the day
  • Maintain cleanliness/order in kitchens and conference rooms
  • Refill paper and toner in printers and photocopiers
  • Set up and clean up catering for weekly lunches, monthly breakfasts, and other meetings
  • Inventory office supplies and put away new orders
  • Prepare cubicles for new employees with office supplies and important bulletins
  • Routinely inspect facility for hazards, lighting issues, etc. and report to Office Manager

Recruiting (potential future responsibility)

  • Coordinate interviews to include scheduling meetings, reserving conference rooms, greeting candidates


  • Greet visitors and notify employees of their arrival
  • Receive and deliver incoming mail and packages
  • Prepare outgoing shipments
  • Filing, faxing, scanning and photocopying
  • Receive invoices, obtain local approval, forward to Accounting department, and file originals; Follow up on past‐due payment inquiries and notify vendors
  • Assist with scheduling meetings with vendors; Follow up on information requests
  • Other duties as assigned

Skills and Requirements:

 Dependable and punctual

  • Excellent interpersonal, verbal and written communication skills
  • Meticulous attention to detail. Common sense and decision‐making ability
  • Intermediate skills in Microsoft Outlook, Word and Excel
  • Must have experience sending Outlook meeting notices, viewing multiple calendars and conference rooms, recognizing and resolving schedule conflicts
  • Ability to operate standard office equipment such as printers, photocopy and fax machines
  • Knowledge of administrative procedures such as filing and record‐keeping
  • Diplomatic and friendly interaction with all individuals from administrative, to engineers, to high‐level executives with differing and diverse personalities
  • Maintain discretion and confidentiality of company and employee documents/information
  • Demonstrate accuracy and thoroughness and monitor own work to ensure high standards of quality
  • Easily adapt to changes, delays and/or unexpected events in the work environment
  • Ability to effectively manage multiple tasks and prioritize competing demands without close supervision
  • Versatility and willingness to assist in all areas of office operations
  • Represent the administrative team in a professional manner
  • Able to work extended hours on special projects if necessary
  • High school diploma or equivalent preferred
  • One to three years of relevant experience
