Position Overview
The Receptionist/Administrative Assistant plays a critical role as the first point of contact for visitors and callers to the corporate office. This position is essential to ensuring a professional, welcoming environment while supporting the overall efficiency and organization of daily office operations.
Key Responsibilities
Front Desk & Communication
· Answer and direct incoming phone calls in a professional and courteous manner
· Greet visitors and serve as the primary point of contact for the office
· Ensure a positive and professional first impression at all times
Office Operations & Employee Engagement
· Maintain cleanliness and organization of common areas, including kitchen, conference rooms, and shared spaces
· Load/unload dishwasher and ensure office areas remain presentable
· Manage office and kitchen supplies, including ordering and restocking as needed
· Coordinate office lunches, meetings, and refreshments as requested
· Assist with planning and coordinating company events, employee appreciation activities, and other office functions
Mail & Package Handling
· Retrieve and distribute incoming mail and packages, including package deliveries
· Coordinate outgoing mail, including certified mail and packages
· Maintain organization of mailbox areas and ensure proper distribution of correspondence
Administrative Support
· Assist with document management, including scanning, uploading, and filing invoices and records
· Support rental verification documentation and other administrative processes
· Prepare and distribute correspondence, including resident welcome letters
· Prepare and distribute employee recognition correspondence, including birthday cards, work anniversary cards, and congratulations or sympathy cards, as appropriate
· Audit and track the receipt of weekly reports, including property inspections and deposit accounting inspections, ensuring timely submission and follow-up on outstanding items
Financial & Document Coordination
· Assist with processing invoices and ensuring proper documentation is uploaded for accounts payable
· Support administrative tracking related to mortgages, checks, and internal records
General Office Support
· Run occasional errands as needed to support office operations
· Coordinate courier services when required
· Provide support to team members and assist with additional administrative tasks as needed

This position is in the West San Fernando Valley area of Los Angeles an the Pay Range is $23.00 to $24.00 an hour
